This Privacy Policy explains how DFW Insurance Brokers ("we", "us", "our") collects, uses, shares and protects information when you visit our websites, use our customer relationship management platform at app.dfwib.com (the "Platform"), or otherwise communicate with us. By using our sites or the Platform, you agree to the practices described here.
This policy applies to two groups: (a) visitors and prospective or existing insurance clients who contact us through our websites, forms, phone or messaging; and (b) agencies and agents who license the Platform from us as a business tool. Where we host data on behalf of a licensed agency, that agency is the controller of its own client records and we act as a service provider processing that data under its instructions.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service or messaging delivery, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
If you provide your mobile number and opt in, we may send you account, appointment, service and — where you have separately consented — promotional text messages. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out at any time, or HELP for assistance. Opting out of text messages does not opt you out of email or phone contact, which you may decline separately.
We send email from our own authenticated sending domain. Marketing email includes an unsubscribe link in every message, and we honor unsubscribe requests promptly. Transactional and service email relating to an active account or policy may continue after you unsubscribe from marketing.
We use cookies and similar technologies to keep you signed in, remember preferences, measure site performance and understand how our pages are used. You can control cookies through your browser settings; disabling them may limit parts of the Platform. We honor recognized browser-based opt-out preference signals where required by law.
We do not sell your personal information, and we do not share it with third parties for their own marketing. We share information only as follows:
We keep personal information for as long as needed to provide our services and to satisfy insurance, tax and other legal recordkeeping requirements, then delete or de-identify it. Agency clients may configure their own retention rules within the Platform, subject to those legal minimums.
We use administrative, technical and physical safeguards including encryption in transit, role-based access controls, least-privilege permissions and audit logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately.
Depending on where you live, you may have the right to request access to the personal information we hold about you, to correct it, to delete it, to obtain a portable copy, and to opt out of targeted advertising, sale or certain profiling. Texas residents have these rights under the Texas Data Privacy and Security Act, and residents of other states have comparable rights under their own laws. We will not discriminate against you for exercising them.
To make a request, email [email protected] with the details of your request. We will verify your identity before acting and will respond within the period required by applicable law. You may appeal a denied request by replying to our response; if the appeal is denied you may contact your state attorney general. If your data is held in the Platform by a licensed agency, we will refer your request to that agency as the controller.
Our sites and the Platform are intended for business use by adults. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it.
Our pages may link to carrier portals, quoting engines and other third-party sites. We do not control those sites, and their privacy practices are governed by their own policies.
We may update this policy from time to time. The "Last updated" date above reflects the current version, and material changes will be communicated through the Platform or by email.
